GenFinovo Terms of Use

1. Acceptance of terms
These Terms of Use (“Terms”) are an agreement between you and S Factor Technologies (“we”, “us”) for the GenFinovo web workspace and related services (“GenFinovo” or “the Service”).
By creating a workspace, signing in, inviting a customer, using the customer portal, or otherwise using GenFinovo, you agree to these Terms. If you do not agree, do not use the Service.
If you use GenFinovo on behalf of a business, you confirm that you have authority to bind that business. In that case, “you” includes the business.
These Terms apply to the web workspace and, when launched, to related iOS and Android apps unless a separate agreement is published for those apps.
2. What GenFinovo is
GenFinovo is a quotations, invoices, payments and collections workspace for small businesses — Plan · Track · Grow. You can add customers and products, issue quotations and invoices, record payments, share documents, invite customers to a portal, and view reports of invoiced, collected, outstanding and overdue amounts.
Malaysian teams can optionally configure LHDN MyInvois e-Invoice from Settings → Malaysia e-Invoice. Pro and Business Pro plans include a customer portal.
GenFinovo is a software tool only. It does not provide banking, payment processing of your customers’ invoice payments, payroll, brokerage, lending, insurance, or other regulated financial services. Recording a payment in GenFinovo (for example Bank Transfer) is a record you enter — it is not us collecting money from your customers.
3. Not accounting, tax, or legal advice
Dashboards, reports, outstanding balances, aging, quotation conversion, payment times and similar figures are for operational tracking. They depend on the data you enter.
Nothing in GenFinovo is accounting, tax, SST, legal, or financial advice. GenFinovo is not a full accounting or tax-filing system. You remain responsible for your books, tax filings, and professional advice. Use your accountant or the tools they recommend for formal books or SST filings.
4. Accounts, workspaces and team members
Business login uses an email and password for your workspace. You are responsible for keeping credentials confidential, for activity under your account, and for using Forgot password if you need a reset.
A workspace belongs to a business. If you belong to more than one business, you may switch between the workspaces you are authorised to use. You must only access data for businesses you are authorised to use.
Business Pro may include team members. The workspace owner is responsible for who is invited, for the access they receive, and for removing access when it is no longer needed.
You must provide accurate registration and contact details, and keep Settings → Business Profile up to date so documents show the correct name, registration numbers, logo and contact information.
5. Customer portal
Pro and Business Pro include a customer portal. You invite people from Portal users. They sign in with Customer login and a one-time code emailed to the invited address — no password is needed.
Portal users agree to these Terms when they sign in. They may see Overview, Quotations, Invoices, Payments, Receipts, Statement, Profile, Portal users and Notifications for the business that invited them.
Customers only see invoices from the business that granted them portal access — not invoices from every business they happen to deal with. Draft and void invoices stay hidden. The same email can be invited by more than one business; each invitation creates a separate portal access for that business and that customer. Invoices are always loaded from the currently selected access.
If two businesses both invited them, they can switch between those businesses in the portal. Switching shows only that business’s documents. They never see a mixed list across businesses. If only one business invited them, they cannot see another business’s invoices, even if they are a customer of that other business.
The inviting business is responsible for who is invited, for the documents those people can see, and for revoking access. Portal users are responsible for protecting their email inbox and one-time codes.
6. Your data and documents
You are responsible for the accuracy of customers, products, quotations, invoices, payments, receipts, statements and any other information you enter or share.
Business data is stored with the Service and available in the browser. The same data is intended to follow you to iOS and Android when those apps launch. You remain responsible for what you enter.
You own the business content you submit (including customer records, document contents and logos you upload). You grant us a limited licence to host, process, display and transmit that content solely to operate, secure and improve the Service, including generating PDFs, sending email, sharing secure document links, and submitting e-Invoices when you ask us to.
Anyone who receives a secure document link or a PDF you share may be able to view that document. You are responsible for who you send it to.

7. Malaysia e-Invoice
Optional LHDN MyInvois e-Invoice is configured from Settings → Malaysia e-Invoice. It does not change how you create and send invoices in GenFinovo.
You remain responsible for the completeness and accuracy of fields required for validation — including MSIC code — and for your obligations to LHDN and any other tax authority. If an invoice is Incomplete, review the missing fields before submitting. If MyInvois rejects a document, you must correct the issues and submit again.
Submission limits depend on your plan. GenFinovo submits on your instruction and shows status returned by the tax platform. We do not warrant that a submission will be accepted, or that using GenFinovo satisfies any particular filing duty.
8. Acceptable use
You agree to use GenFinovo only for lawful purposes and in a way that does not:
- Issue false, misleading or fraudulent quotations, invoices, receipts or e-Invoices
- Misrepresent payments, outstanding amounts or business identity
- Access another business’s workspace or portal data without authorisation
- Attempt to reverse engineer, disrupt, overload or abuse the Service or related systems
- Violate applicable laws, tax rules or third-party rights
We may suspend or limit access if we reasonably believe these Terms are being abused.
9. Plans, subscriptions and billing
GenFinovo offers Free, Pro and Business Pro. Current list prices shown in the app are: Free at RM0 forever, with monthly caps on invoices, quotations, emails and e-Invoice submissions; Pro at RM19 / month or RM190 / year; and Business Pro at RM49 / month or RM490 / year. Prices are in MYR. Features, caps and prices may change; the plan, price and terms shown at checkout or in Settings → Plan & Billing at the time you subscribe control.
Paid plans are subscriptions billed monthly or annually and automatically renew unless you cancel before the end of the current period. Payment is collected by a third-party billing provider. You authorise recurring charges to the payment method you provide until you cancel.
Subscriptions belong to the business workspace, not to an individual login. Upgrade, downgrade and manage billing from Settings → Plan & Billing.
If you cancel, paid features typically remain available until the end of the current paid period, then the workspace falls back to Free. Failed or overdue payments may lead to loss of paid features after any grace period we apply. Downgrading may reduce limits (for example team members, emails, e-Invoice submissions or portal seats); existing records generally remain visible, but creating new documents may be blocked until usage is within the new plan.
Free documents include GenFinovo branding. Pro and Business Pro unlock custom branding and remove GenFinovo branding from PDFs. If a PDF still shows GenFinovo branding after you upgrade, regenerate the PDF.
Unless required by law or stated otherwise at purchase, fees are non-refundable once charged.
10. Intellectual property
GenFinovo’s name, branding, design, software and original content are protected by intellectual property laws. You receive a limited, non-exclusive, non-transferable right to use the Service for your internal business purposes, subject to your plan.
You may not copy, modify, distribute, sell, lease or create derivative works from the Service except as allowed by these Terms or by applicable open-source licenses for third-party components.
You represent that you have the rights to content you upload (including logos and customer data) and that using it in GenFinovo will not infringe someone else’s rights.
11. Third-party services
GenFinovo may rely on third parties for hosting, email delivery, billing, and tax-platform submission (including LHDN MyInvois). Those services have their own terms and privacy policies. We are not responsible for outages, rejections or decisions of third parties, except as these Terms or applicable law require.
12. Disclaimers
The Service is provided “as is” and “as available,” without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
We do not warrant that GenFinovo will be uninterrupted, error-free, or that totals, reports, e-Invoice submissions or portal views will be accurate or suitable for your needs. Calculations and documents depend on the data you provide and on third-party platforms where used.
13. Limitation of liability
To the maximum extent permitted by law, S Factor Technologies is not liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, data, goodwill, business, tax penalties, or other intangible losses, arising from your use of (or inability to use) the Service.
Where liability cannot be excluded, it is limited to the amount you paid for GenFinovo (if any) in the twelve (12) months before the claim, or the minimum amount required by law.
14. Changes to the Service or these Terms
We may update GenFinovo and these Terms from time to time, including plans, limits and features. Continued use after an update means you accept the revised Terms. The “Last updated” date at the top of this document will change when material updates are made.
If you do not agree to updated Terms, stop using the Service.
15. Suspension and termination
You may stop using GenFinovo at any time. Cancel any paid subscription from Plan & Billing if you do not want it to renew. Export or download documents you need before you close a workspace.
We may suspend or end access if you breach these Terms, if required by law, or if we discontinue the Service. We may retain or delete data as described in the Privacy Policy, and as required by law.
Provisions that by nature should survive (including disclaimers, limitation of liability, and intellectual property) continue after you stop using the Service.
16. Governing law
These Terms are governed by the laws of Malaysia, without regard to conflict-of-law rules, unless mandatory consumer or small-business protection laws in your country of residence require otherwise.
